The Administrative Assistant provides comprehensive administrative and operational support to the Casablanca site, ensuring the efficient coordination of office activities, business visits, and day-to-day administrative operations. The role is responsible for managing visitor logistics, travel arrangements, meeting coordination, and general office administration while supporting managers and maintaining a professional workplace environment.
Main Responsibilities:
Provide administrative support by preparing correspondence, reports, presentations, spreadsheets, and other business documents.
Coordinate local and international business visits, including meeting schedules, visitor agendas, hotel reservations, taxi transfers, and site logistics.
Organize meetings by scheduling rooms, preparing meeting materials, and coordinating attendees.
Coordinate domestic and international travel arrangements when required.
Prepare and process expense reports and administrative documentation for approval.
Maintain calendars and provide scheduling support for leaders and key stakeholders.
Manage office supplies and coordinate with vendors to ensure adequate inventory.
Handle incoming and outgoing mail, shipments, and courier services.
Support onboarding logistics for new employees and visitors.
Assist with the organization of site events, team meetings, and employee engagement activities.
Serve as a point of contact for general administrative inquiries and support day-to-day office operations.
Ensure administrative processes comply with company policies and procedures.
Applies established administrative knowledge and procedures to support daily business operations.
Works independently on routine assignments with moderate supervision.
Prioritizes multiple tasks while meeting deadlines in a fast-paced environment.
Identifies administrative issues and resolves them using standard processes, escalating when appropriate.
Builds effective working relationships with internal teams, external vendors, and visiting stakeholders.
Associate degree (2-year degree) or equivalent administrative qualification preferred, or High School Diploma with relevant professional experience.
Typically requires 2–4 years of experience in an administrative, executive assistant, office coordinator, or similar role.
Experience coordinating travel, business visits, meetings, and office operations is preferred.
Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, and Teams).
Excellent organizational, communication, and time management skills.
Fluent in English and French; additional languages are considered an asset.
